The Eastman Departmental Residency and Colloquium Grant offers funding for activities that support the IML’s mission within the school. 

The Institute for Music Leadership creates career and leadership development  

opportunities for musicians on and off the stage. 

These funds support collaboration between the IML and other Eastman departments to bring in external guests for presentations, panels, and other relevant experiences. Communication and collaboration between the applying department and IML is expected before, during, and after the event to receive granted funds.  Please note: The chair of your department must be in agreement that this is how they would like to utilize their allotted department funds for this academic year.

In order to apply: 

  1. The applicant must meet and discuss the proposal with the IML Program Manager before applying.    
  1. The applicant and guest must select three (3) IML Learning Outcomes addressed in a non-performance setting during the residency.   
  1. Complete the application below and submit at least 60 days in advance of the guest visit.   

Note: Applications are reviewed by committee on a rolling basis.  Please allow three weeks after submission to receive a response.  Due to University financial protocols, the IML cannot retroactively award funding for guest visits that have already taken place.   

Grant Program Categories

1) Departmental Grant (up to $1500)

Each academic department is eligible to apply annually for up to $1500 towards the expenses of an on-campus visit from a guest lecturer, presenter, or performer whose activities meet the learning outcomes established by the IML.  Funding will be awarded to successful applications in the order they are received. Only 7-8 departments will receive funding during the academic year. Preference will be given to departments that did not receive funding in the previous academic year.       

2) New Faculty Grant (up to $1500)

Addressing the same goals above, these funds are only available to new full-time faculty members within the first two years of their appointment.  Only two New Faculty Grants are available each academic year, and applications will be reviewed in the order they are received.  These grants are separate from the Departmental Grant in terms of funding allocation, review, and eligibility.  

Please note that no Departmental or New Faculty Grant will exceed $1500, and multiple awards of the same category may not be used within the same academic year.  Eastman Departments are still eligible for a separate Departmental Grant should a faculty member receive a New Faculty Grant, but Departmental and New Faculty Grants may not be combined for the same guest visit. 

Timeline and Procedures

  1. Identify a Guest 

a. With your guest, determine the IML Learning Outcomes addressed during the residency. 

b. With your department, discuss using this grant support for the proposed residency.  Are there multiple recommendations from your department, and/or will your department agree to have the entire grant funding in support of a single guest for the school year?   

  1. Complete the Application  

a. Before submitting the application, you must meet to discuss your plan with IML Program Manager Jeff Dunn.   

b. Complete the online grant application.   

c. Please note the following requirements of the application: 

i. Guest background information 

ii. What Learning Outcomes are addressed, and how? 

iii. Proposed itinerary and activities 

iv. Proposed budget

  1. Receive approval and Event Pre-planning 

a. Decisions about the grant application will be sent via email to (1) the applying faculty member, (2) the Department Chair, and (3) the Departmental Coordinator. 

b. The applying faculty member is required to sign a letter of agreement detailing the terms of the grant award.

c. As a collaborating partner in approved residencies, the IML must be kept in the loop on all conversations related to scheduling. 

  1. Host the Residency

a. At least one faculty member from the hosting department and one representative from the IML must be present at all events that address IML Learning Outcomes. 

  1. Submit a Summary

a. Within two weeks following the visit, the applying faculty member or other representative will submit two follow up components:

i. A 3-4 sentence summary of your guest’s visit with photos taken throughout the various activities.  This will be added to the IML’s Grant Past Winners page.

ii. A 2-3 paragraph typed follow-up summary that explains how the department benefitted from the guest’s visit, both musically and in addressing the IML Learning Outcomes in prose form. Please do not submit a timeline of activities; the reflection should capture the learning benefits from the discussion and/or other associated IML Learning Outcomes activities.  This will be used for internal University reporting only and will not be posted online.

b. Both summary components can be submitted via this online form.

Notifications of Awards

The IML committee will review submitted proposals on a rolling basis and make recommendations on approval.  The committee reserves the right to ask for clarifications, edits, and corrections before approving funding.  Successful awardees will receive an agreement stating the amount of their grant, as well as an explanation of specific expenses indicated in the grantee’s budget proposal that the money is intended to support.  

Upon receiving the signed agreement, the IML will connect with your department coordinator to discuss financial, scheduling, and marketing needs. 

The IML will transfer of the full amount granted to the applying department’s FAO upon receipt of the post-residency summaries.  The summaries must be submitted within two weeks following the guest visit. 

Requirements of the Grantee

If awarded a grant, funding must be used for the agreed upon residency.  Funding is contingent on abiding by the terms detailed in the agreement, and is only distributed during the fiscal year for which it has been allocated.   

The grantee will submit the final summary in order funding to be distributed.  The summary will include both a short description of activities, and a longer narrative that discusses the impact of the guest visit and fulfillment of the IML Learning Outcomes.  The grantor reserves the right to use this summary in part or whole, on the IML website, marketing materials, and social media accounts. Summaries may be submitted via this online form.
